A small consulting firm running on spreadsheets, email threads, and QuickBooks—with month-end close that meant days of reconciliation and a lot of crossed fingers. I built the system that replaced all of it.

- Four tools—Excel, Outlook, Teams, and QuickBooks—replaced by one system purpose-built for how the firm actually operates.
- Leadership kept control where they wanted it, while the manual work disappeared around them.
Objective
The firm needed to stop fighting their tools. Timesheets lived in email. Invoices lived in QuickBooks. Project budgets lived in spreadsheets that only one person understood. Every month, someone had to pull it all together manually—and hope nothing got missed.
Strategy
I built a single platform that follows the money from start to finish. Consultants submit time through a simple interface. That timesheet flows into billing, generates invoices, and updates project budgets automatically. When payments come in, they reconcile against the bank feed. No more chasing down hours in email. No more reconciling three systems at month-end. Consultants can see their own earnings, project hours remaining, and billing status without asking anyone. We kept manual checkpoints where leadership wanted them—executive review before invoices go out, final sign-off on consultant payments. The system does the work; humans make the calls that matter.
